Working for HRGO: Absences

If you are unable to attend your assignment because you are unwell, you must inform your HRGO branch or consultant at the earliest opportunity and at least one hour before your shift starts (or as detailed by your consultant).

If you need to report absence during office hours (Monday – Friday, 8.30am - 5pm) please call your HRGO branch. You can find the telephone numbers for all HRGO branches here - https://www.hrgo.co.uk/about/branch-finder

If you need to report your absence, outside of these hours, please contact your HRGO branch or consultant on the out of hours number provided to you. If there is no answer you may leave a voicemail or text message.

When reporting your absence, please tell us, your full name, assignment/site, shift time and a brief reason of your sickness (no detailed medical information).

Unless you inform us otherwise, we will expect you back on your next booked shift. If you inform us that your sickness is likely to last longer than one shift, we ask that you keep us informed of the situation and provide us with an approximate date of return, so that we have a reasonable amount of time to arrange cover if necessary.

As a PAYE worker, HRGO will pay Statutory Sick Pay (SSP) if you are eligible. From 6th April 2026, SSP is payable from day 1 of sickness (for the days you were due to work) and is paid at the Government rate (up to £123.25 per week, or 80% of your average weekly earnings if lower).

If you are late notifying us of your sickness and you do not use the correct reporting method, and it is deemed there is no good reason for the delay, SSP can be affected for late notified qualifying days and may be treated as unauthorised absence.

If you start work and then go home sick, SSP is not payable for that day (because you have worked for part of the day). You will be paid for the time you have worked.

For days 1-7 of sickness, we may ask you to complete a self‑certification form (SC2).

If your sickness lasts more than 7 calendar days in a row, you’ll need to provide a fit note from day 8 onwards. Please send this via email to your HRGO consultant. Without this fit note, SSP may be delayed or paused if evidence is not provided.

Please note, your contract is for the duration of each assignment. No contract exists between assignments, so SSP is only paid for your qualifying days while you are on an active assignment. If your assignment ends, SSP will end on the assignment end date. If SSP cannot be paid, we will confirm this and provide the relevant SSP1 form.
