Experienced Office Administrator/Advisor

We need to rethink our relationship with resources - it's all of our responsibilities to conserve and protect them as well as reduce our carbon impact. Paper is no exception to this which requires vast quantities of wood, water and energy to be made and then be consumed.

Going paperless has long been an ambition or our company and we've made some great progress. The pandemic has driven more digital processes into our lives and helped to reduce our paper consumption, but more needs to be done and we need your help.

This is an exciting opportunity to help transition our teams away from paper and help drive our paperless ambitions in 2021. As part of this temporary employment, we'd like you to focus on the following which all fall under our wider Digital New Age (DNA) initiative.

A mix of experienced administrative skills, an advisory and analytical mindset and the ability to summarise and present key information and recommendations, is core to this role.

  • Support the delivery of a paper-free site, by contacting and discussing paper usage at a sample set of sites.

  • Developing a succinct series of recommendations with supporting information to help understand what is being printed and what could be done to reduce usage.

  • Help develop a 'paper to digital' catalogue - providing a useful place for all sites to visit and review - highlighting if and what digital options are available to address their incumbent paper processes.

  • Lead the identification of sites with more than one printer and work with the site to move towards the target of having (initially) one good printer at each.

  • Support the move of any mandatory customer bound in-house printing to our new 3rd party provider. Providing any training and support required.

  • Linked to the above, help to identify any newly freed-up franking machines for removal.

  • Review existing franking machine use and provide recommendations for removal in line with maintenance renewal timelines and helping sites transition to new ways of working.

  • Support any wider reviews of paper use at 3rd party providers and provide recommendations and support, as needed, to sites and teams to drive down use.

  • Provide support and guidance around our approach to our existing customer bound mass volume printing.

  • Where printing is still required, help to promote the environmental and cost benefits of A4 duplex B&W printing vs A3/single sided and colour printing.
