HR GO are looking for a Facilities Admin Assistant to join our busy client in Ashford.
You will be required to work Monday to Friday 9am-5pm but must have flexibility to work weekends if required.
You will be required to provide comprehensive administrative and clerical support to the Facilities Management Team.
Key Responsibilities
- Act as point of contact and deal efficiently with all enquires from other departments.
- Note take and type up meeting minutes.
- Draft responses to routine enquires.
- Transcribe audio, copy type or shorthand, all correspondence as requested by the Facilities Team, ensuring layout, spelling, grammar and punctuation is consistent.
- Maintenance of the filing and computer systems and relevant departmental databases, ensuring accurate data entry of all administration, including efficient management of records.
- Log and record issues with help desks.
- Manage holiday planning and booking for the Facilities Team.
- Plan and facilitate rota management and overtime/agency requests across the departments.
- Review completion of due diligence documentation and detail follow up required.
- Support of stock and order processing.
- Maintain administration procedures for department, including documentation library.
- Organise own work and schedule and adapt as required.
- Undertake various duties to ensure smooth running of the office, including sorting post, photocopying, laminating, sending and receiving emails, answering telephone calls and dealing with enquires.
Skills Required

Previous knowledge and/or experience of a HR system

Need to be able to understand shift/duty/roster management, including working time regulations.

Good communicator/ good IT skills.
