General Overview: Reports to minor works manager, provides in region support to minor works delivery, including raising purchase orders, general contract administration and management of documentation on our CAFM system

Impact: The role will play a critical part in the minor works team; the candidate will have experience working in similar roles, working with different computer systems and will be confident in supporting the wider contract deliverable

Complexity:

The candidate must demonstrate excellent communication techniques, confidence and patience. The candidate must also have experience of dealing with clients face to face and be able to work effectively in a high pressure environment. Reporting & data analysis will also be a key part of the role and experience in producing reports under pressure will be critical.

Duties & Responsibilities

· Management of minor works back office process.

· Management of Purchase orders are raised & closed in line with the company standard.

· Liaise with the Managers on a daily base and drive performance.

· Subcontractor engagement

· End to end management of the reactive and minor works process

· Attendance to WIP meetings

· Management of records & filing system

· Production of accurate regular management Information based upon Workflow Data

· SME for SAP and Coupa systems.

· Train all staff to a high standard on all administration related systems

· To provide cover for colleagues during sickness, annual leave etc.

· To attend and participate in Training courses as required and to undertake any training in the future as may be required to ensure the duties of the post are effectively carried out.

· Familiarisation of the Operation and Sites.

· To undertake special project work as and when require.

· To participate in the one HR performance review system.

· Provide quick turn around on quotations to be submitted to client

· Support in the governance process

· Additional duties to support the wider contract deliverables within the region

Qualifications or Required Experience: Skill & Competency

Excellent communication skills

Skilled in Helpdesk call processing

An effective communicator both written & oral

To plan, prioritise and allocate work

Self-disciplined and able to work on own initiative

Flexible and adaptable approach to work

Preferably Maximo trained, however job specific training can be provided

Preferably experience of using SAP & Coupa finance and purchasing systems.

Hours of work are Monday to Friday 08:00-17:00
