Bilingual (ENGLISH & MANDARIN) - ESSENTIAL for this role Please only apply if you meet these criteria. Key duties and responsibilities: * Assistant to all DGM's - e.g. expenses, travel, diary management, as required; * Administration of mobile phones; * Arrange travel and accommodation for staff business trips e.g. visas, flights and hire cars, if required; * Arrange temporary accommodation and provide support to expats; * Manage company Oyster cards; * Organise monthly Lunch & Learn sessions and Breakfast with the CEO; * Liaison with Social Committee as necessary to organise events; * Maintaining Subsidiary and Branch organisation charts; * Conduct fixed asset checks ensuring fixed asset register is kept up to date; * Manage temporary and contractor's invoices log; * General invoice administration; * Provide support for visitor organisation; * Production of reference letters; * Preparation of references for banks, landlords, new employees, invitation letters etc.; * Back-up liaison with our outsourced property management service; * Managing stationery suppliers and orders; * Recorder management; * Liaison for the Bank's third-party service providers e.g. travel companies, airlines, accommodation services, etc.; * Management of memberships and subscriptions; * Organise all internal and external events e.g. Chinese New Year, Chinese festival celebrations throughout the year, CEO Town Hall meetings, arranging food / refreshments; * Co-ordination between group and the social media, and management of the reputational risk with the intention to enhance corporate image in the market; * Co-ordination between London office and third parties, e.g. social media; * Make pre-arrangement for the delegation purpose, including conference preparation, presentation of the profile of the bank, accommodation, transportation and meals etc.; * Deal with quarterly reputational risk management report; * Manage reputational risk and try to find the solution to this by guidance; * Implement routine management of reputation risk, security risk and draft regular quarterly reports to and communicate with related departments of the Bank's Head Office; * Support in preparing various reports and PowerPoint materials to be presented to Head Office; * ESSENTIAL SKILLS: * Excellent writing and research skills in both Chinese and English * Good communication skills in English as well as in Chinese * Excellent organisational and interpersonal skills * General administration experience and strong attention to detail * Excellent MS Office to include - Powerpont, Word and Excel * BILINGUAL (ENGLISH & MANDARIN) * Multi-tasking skills * Able to demonstrate initiative skills and ability to prioritise tasks in a busy and demanding team.
