Aministration - Health Records Clerk

As well as to support pulling patient files from the Health Records Centre tracking via our Patient Administration System, logging, and boxing files ready for transportation to our offsite storage facility.

Hours initially during training period would be Monday - Friday 9-5pm, 37.5hrs per week.

MAIN DUTIES & RESPONSIBILITIES

  • Ensure all Health Records are filed, processed on a daily basis, accurately and within deadlines in terminal digit order.

  • Have an understanding of the consequences when records are not available and able to deal with occasional exposure to stressful situations.

  • Have an understanding of clinicians needs in relation to Health Records using tact and diplomacy in all communication.

  • Participate in training programmes to continue education and enhance the service.

  • Continue to monitoring of day-to-day activities and ad-hoc scenarios.

  • On a daily basis, input data for computerised tracking systems and interpretation the borrower codes and location of records.

  • Prioritise and follow policies and procedures regarding all requests received for health records.

  • Ensure handling of records complies with Health Records policy on manual handling.

  • Comply with procedures on accurately labelling, processing and recording all boxes of records ready for collection, ensuring box weights do not exceed health and safety guidance.

  1. Communication

  • Liaise with colleagues, Team Leader, Health Records Co-ordinator, and Health Records Manager, as appropriate, to ensure duties are completed, issues and concerns raised.

  • Use email where appropriate to effectively communicate with wider colleagues with regards to providing patient case notes for audit and research purposes.
