Town Clerk Assistant

Location: Folkestone
Working Hours: Monday to Wednesday, 09:30 - 13:30
Contract Type: Temporary, Part‑Time
Pay Rate: £13.50 per hour

We are seeking a proactive and organised Town Clerk Assistant to support civic services and community engagement within a local authority setting. This role is ideal for someone with strong administrative skills who enjoys working in a public‑facing, community‑focused environment.

Key Responsibilities

Civic & Event Support

  • Maintain the Town Mayor's diary and coordinate all civic engagements
  • Plan, organise and attend civic and charity events
  • Liaise with venues, partners and stakeholders for fundraising activities
  • Attend events to support the Mayor and ensure smooth running
  • Assist with raffle organisation, ticket sales and prize collection
  • Produce post‑event reports detailing attendance and funds raised

Administration & Communications

  • Prepare for and attend bi‑weekly Civic Briefing meetings
  • Maintain the residents' communication log
  • Liaise with key local agencies including KCC, FHDC, Community Wardens, PCSOs and grounds teams
  • Manage incoming correspondence and distribute to relevant parties
  • Update and maintain the Council's website and social media channels
  • Support the production of Council publications and media content
  • Respond to public enquiries via telephone, email and face‑to‑face
  • Undertake general office duties including post, filing and correspondence
  • Provide cover and carry out additional tasks as directed by the Town Clerk

Person Specification

Essential Qualifications & Skills

  • GCSE/O‑Levels: minimum 5 subjects at grades A-C (or equivalent)
  • Strong IT skills across Microsoft Office and digital platforms
  • Confident writing letters, reports and public communications
  • Experience managing diaries and scheduling appointments
  • Excellent verbal and written communication skills
  • Fast and accurate typing skills
  • Ability to work with confidentiality and discretion

  • Highly organised with strong time‑management skills
  • Ability to manage multiple tasks and prioritise under pressure
  • Proactive and confident in handling enquiries and correspondence
  • Flexibility to work occasional evenings or weekends when required
