Sales Support Executive

This role will be based from a stunning Central London office location
Salary: £25,000 + 10% bonus
This is an absolutely incredible opportunity working within a leading global events organisation with the key purpose of administering the sales process, aiding the sales team, providing the support required to make the business as efficient as possible whilst upholding standards of quality and compliance. It is part of a vibrant and fun loving centralised team where individuals are usually aligned to specific brands but can work across all brands when required. This role involves both team work and individual responsibilities.
KEY RESPONSIBILITIES
- Supporting the smooth operation of the event cycle, working together with Sales, Marketing, Operations, Finance and other events departments
- Quality control of sales contracts received from the sales team prior to initiating billing
- Keeping all legal documentation in the system and distributing it to appropriate parties in a timely fashion when required
- Ensuring invoices and credits are issued in a timely fashion and any queries dealt with, thereby assisting the maintenance of cashflow in the business
- Administration of exhibition rebook process ensuring sales collateral, supporting documents and contracts are available to the sales team and other relevant business areas
- Onsite event support and administration in the UK and potentially worldwide.
- Post-event fulfilment processes, including the processing/validation of rebook contracts and setting up of invoicing
- Responding promptly to queries from business representatives and external parties
- Ad-hoc reporting to assist sales team
- Customer account maintenance
- Ensuring all systems have full and complete data integrity
- Ensure compliance with the groups events policies and procedures
- Ensure compliance with overseas regulatory requirements
- Completion of any information requests during audit procedures
PERSON SPECIFICATION
- Ability to communicate effectively with all levels within the business
- Team player comfortable operating within multi-disciplinary teams
- Can uphold business protocols and processes despite objections from those with a different agenda
- Ability to adapt to new process and new systems
- Able to communicate information in an appropriate manner
- Desire to produce accurate work and to meet deadlines
- Self-starter and proactive
- Curiosity to investigate anomalies and tenacity to solve problems
- A good understanding of exhibitions is an advantage but not essential
- Customer billing experience an advantage
