HRGO is excited to be recruiting for a longstanding client in the Construction Equipment Industry who is expanding into the Blairgowrie region with a new Depot opening Spring 2026. As part of the expansion, we are recruiting for a Parts Administrator to assist the parts function of the business. The ideal candidate will have parts experience and come from the Automotive / Industrial Machinery / Construction / Agri industry.

Role Summary
The Parts Administrator supports the Parts Advisor and depot team with all administrative and order-processing tasks, ensuring accurate data, smooth parts ordering and clear communication with suppliers and internal teams.

Key Responsibilities

  • Raise and process purchase orders, sales orders and requisitions in the ERP/parts system.
  • Assisting the depot with general administrative tasks.
  • Chase suppliers for prices, lead times and delivery updates; manage back orders and overdue deliveries.
  • Prepare and issue quotations, order confirmations and basic invoices as directed by the Parts Advisor.
  • Assist with warranty and returns paperwork, including claim forms and credit requests.
  • Support goods-in administration: match delivery notes to POs, log receipts and help with labelling.
  • Help with stock control admin, including printing count sheets and updating stocktake results.
  • Answer and route calls/emails relating to parts enquiries, passing technical queries to the Parts Advisor.
  • Maintain organised electronic and paper filing for parts documentation, invoices and H&S records.

Required Qualifications and Experience

  • Previous experience in an administrative, purchasing, parts or stock-control role.
  • Confident using IT systems
  • Good organisational skills with the ability to prioritise workload.
  • Clear and professional communication skills with suppliers, colleagues and customers.
  • Knowledge of construction machinery/plant, automotive or similar industries is an advantage but not essential.
  • A forklift license would be desirable to assist the Parts Advisor loading and unloading parts if required.
