Job Title: Conveyancing Legal Assistant

Location: Eastbourne, East Sussex
Salary: Dependent on experience
Working Hours: Monday - Friday, 8:30am - 5:00pm (40 hours per week)
Work Type: Permanent / Full-Time (Office-Based)

HRGO Recruitment are looking for an experienced Conveyancing Legal Assistant to join a busy and well-established legal practice in Eastbourne. This is a great opportunity to work in a friendly, supportive team, helping a fee earner and where needed, a secretary managing residential property matters efficiently from start to finish.

Key Responsibilities

  • Handle initial enquiries relating to property sales and purchase files
  • Carry out due diligence in line with AML regulations and risk management procedures
  • Obtain required documentation from clients and liaise with third parties, including HM Land Registry, lenders, and search providers
  • Prepare draft sale contracts and re-mortgage documentation as directed by fee earners
  • Provide regular updates to clients on the progress of their matters
  • Manage enquiries from clients, estate agents, and third parties
  • Undertake word processing of legal documentation and correspondence
  • Use case management systems (e.g., Proclaim) to create and manage client files
  • Assist fee earners with financial administration including time recording, billing preparation, and completion statements
  • Handle incoming calls, emails, and face-to-face client enquiries, taking accurate messages where necessary
  • Open and set up new files accurately following instructions from fee earners
  • Manage filing, storage, and retrieval of client files in accordance with firm procedures
  • Ensure compliance with SRA client care standards and GDPR regulations
  • Provide general administrative support including photocopying, document binding, and correspondence preparation
  • Support colleagues across the team when required, including reception and handling overflow calls during busy periods

Requirements

  • Minimum 6 months' conveyancing experience
  • Strong organisational skills and ability to manage a varied workload
  • Excellent attention to detail and accuracy when handling documentation
  • Confident communication skills when dealing with clients, colleagues, and third parties
  • Experience using case management systems and Microsoft Office
  • Ability to work effectively within a small, collaborative team
  • Understanding of confidentiality, data protection, and compliance procedures within a legal environment
