We are looking for an Administrator who will be responsible for maintaining accurate and compliant maintenance records for statutory and non-statutory jobs.
You will be responsible for updating the BOLSTER database and updating associated records and CAD drawings, supporting the Senior Management Team, specifically the Fire Door Manager to deliver exceptional customer service across sites throughout South Yorkshire and Bassetlaw.
Job Description / Key Accountability's
- Maintain the BOLSTER system updating drawings and asset data as required.
- Updating compliance records.
- Ensure all completed worksheets are received and filed on the technical shared drive, chasing subcontractors where required for timely completion of these.
- Be the main point of liaison with the Helpdesk to ensure that scheduled maintenance visits are booked in a timely fashion and that corresponding maintenance records are received and shared with the Fire Door Manager for review in a timely fashion.
- On an ad hoc basis, create/update Work Orders and Purchase Orders on Maximo to reflect the latest status and information available.
- Sound understanding of H&S, Environment and QA procedures.
- IT literate with knowledge of Bolster, AutoCAD and Microsoft applications and information management systems.
- Update programmes of work with information relating to hard service operations.
- Understand and meet customer requirements, delivering consistently high service levels and utilising feedback to improve service.
- To provide administrative cover to other parts of the FM Administration service during staff absences.
- Undertake training where necessary to maintain and develop the requirements of the service.
- Communicate effectively with site teams and management.
- Any other duties that may be required to facilitate the efficient operation of the contracts.
Due to the nature of the role, the successful candidate will require an enhanced DBS clearance and may be required to travel to sites.
