The role of Sales Administrator will be responsible for providing PA/administrative support to the Unit General Manager, Department General Managers, and team members and to provide business, accounting, administration and IT Support within the Business Unit primarily for the Ship and Marine Project, Pan - EU Aerospace and Pan-EU Construction Equipment Departments.
Overview:
Provide PA support to the Unit General Manager, Department General Managers and team members
Provide administrative support to the Business Units and Departments' business operations including, scheduling meetings, arranging and managing all business trip requirements and expenses, processing invoices, filing and general administration duties
Assist in arranging international exhibitions for Ship and Marine, Aerospace and Construction Equipment Departments which are held in Europe
SAP administration/input of contractual data and issuing invoices
Internal applications (transactions, payment requests, listings update and customer registration)
Set up and manage timely delivery of commercial or logistics documents to customers and suppliers, if necessary
Monthly budget monitoring and reporting
IT support to the Departments as an IT promoter
Internal communications with various Departments and Business Line Companies in the Business Unit and Tokyo Head Quarters
Issue Sales Contracts, Purchase Contracts and exchanging, if necessary
Provide all shipping information and shipping documents to customers and counterparties in a timely manner. Record and control all information on the internal spreadsheet and maintain shipping document files, if necessary
Ad hoc secretarial tasks.
QUALIFICATIONS/SKILLS/PERSONAL QUALITIES
Administration and Accounting background
Excellent Microsoft Office/PC Skills (Word, Excel, and Power Point)
Good team player
Ability to prioritise workload
Good communicator
Excellent organisation and time management skills
Confident multi tasker, accurate and reliable
Able to perform under pressure and to strict deadlines.
EXPERIENCE
Previous administration experience is required
To come from an accounting background - a basic understanding of accounts is required
Good knowledge of SAP
Experience in Concur (desirable)
Experience providing IT support
Experience working within a multicultural business environment is an advantage.
