Personal Assistant - Long Term Placement

HRGO are currently recruiting for a Personal Assistant on behalf of a Public Sector health organisation based just outside Barnsley. These roles are an immediate start with permanent opportunities for the right candidates. They offer on site parking so are ideally located for candidates within Barnsley, Wakefield, Doncaster, Sheffield and surrounding areas.

Hourly Rate: £10.29 - 11.75

Duties Include:

  • To provide effective secretarial and administrative support to the Executive Team and support staff
  • To ensure good communications across the team, and with external organisations and members of the public, including transmission of complex and confidential information
  • To take a proactive approach to supporting directors, managing their workload and schedules
  • As required, to take and transcribe Minutes at specified corporate meetings and ensure timely distribution.
  • Responsible for compiling and circulating agendas for specified corporate meetings.
  • To deal with internal and external correspondence (including electronic mail), bringing urgent matters to the attention of the responsible Director or appropriate deputy in his/her absence
  • In the absence of the responsible Director, using specialised knowledge to make sure that all enquiries/issues are dealt with in a timely and appropriate manner in liaison with line manager, directors and/or senior managers.
  • To manage and maintain electronic diaries, arrange meetings, travel arrangements, book venues (both on and off site) and catering, etc
  • To provide accurate typing and word processing (including the use of audiotyping and, where applicable, shorthand typing).
  • To deal with telephone calls and enquiries and take messages when staff are unavailable, taking action to escalate urgent enquiries to the responsible Director or appropriate deputy in his/her absence.
  • To check papers and prepare files in advance of scheduled meetings.
  • Any other duties commensurate with the post and grade

Candidates require:

  • RSA Stage Ill typing/word processing (or equivalent) ECDL qualification or proven experience to the same standard
  • Minute taking experience
  • Previous secretarial experience
  • Experience of MSWord and PowerPoint
  • Experience of diary and meeting management
  • Experience of filing systems
  • Good communication and interpersonal skills
  • Ability to prioritise own and others' work loads
