JD for PA to CEO
As a Personal Assistant to the CEO you will be required to provide high level of support to a busy executive officer with significant internal and external commitments up to ministerial level. This includes, but is not limited to; managing diary time and engagements to maximise the productivity of the CEO; ensuring that communications with the CEO via email, telephone, and letter are received, prioritised, and dealt with as appropriate; and ensuring that the CEO is equipped for all engagements including that briefing notes, papers, and minute taking facilities are available in a timely fashion.
The Personal Assistant to the Chief Executive Officer will report directly into the CEO for line management. This is a busy, high performing PA role providing a first point of contact for the CEO and the wider CEO Office. You will have substantial contact with a wide range of senior stakeholders both within the group and with external organisations and will liaise and work closely across all directorates within the organisation, the Department for Transport, and external stakeholders.
About the role:

Act as a first point of contact and representative for all enquiries for information from, dealing with incoming queries and ensuring effective management of access to the CEO

Monitor and manage emails that need prioritising and responding to on CEO's behalf
*
Proactively manage and coordinate the CEO's diary of internal and external meetings, including all professional engagements and other appointments, ensuring effective use of their time
*
Plan and change a busy schedule, including managing conflicting appointments, liaising with senior colleagues, other PAs and external stakeholders.

Prepare briefing packs, meeting papers and all other documentation
*
Maintain new and existing administrative systems and procedures to ensure the effective provision of support to the CEO
*
Attend, participate in and minute meetings, with both internal and external stakeholders, recognising priorities and facilitating follow-up actions

Managing confidential and sensitive materials
*
Work with Corporate Affairs to manage external events and speaking engagements ensuring that speaking notes and presentations are commissioned and prepared on time
*
Format presentations for use in board and executive meetings to ensure clear and high impact presentations.
About You:

Experience of working in a busy executive office, including managing workload and meeting deadlines
*
Knowledge of executive office and business management
*
Strong organisational skills, with the ability to prioritise, allocate and organise appointments and meetings in a logical manner
*
Ability to produce clear, understandable and grammatically correct minutes, therefore strong minute taking experience
*
Proficient in MS packages, especially email
*
Communication skills to engage positively and represent the CEO with a wide range of internal and external stakeholders
*
Relationship building skills with the ability to meet and manage visitors to the CEO and influence across a wide variety of stakeholders
*
Knowledge of board and senior meetings processes
*
Experience of handling sensitive and confidential information.
