The Operation Assistant is responsible for representing the company as they may be a first point of contact for any visitors or guests. As such they should demonstrate a professional, welcoming, organised environment for the company
The Operation Assistant is responsible for ensuring the business is supported through effective administration of: office equipment, phone calls, filing (electronic and hard copies), photocopying, filtering emails, accurate data entry into our MRP/CRM and quality systems software.
The Operations Assistant is responsible for: supporting the operations at the company through attending meetings, monitoring, organising training and through effective communication with suppliers and customers.
Support Operations Manager.
Work closely with Quality Lead/Directors.
Attend contract review meetings and monitor actions.
Update job packs as and when required.
Chair weekly production meetings and monitor actions.
Minute quarterly AS9100 management meetings and assist the director in actions being met by the deadline.
Manage the CRM.
Update supplier accreditations and use the OASIS website.
Input sales orders, estimates/quotes on the system.
Induction/maintenance training with new/current employees.
Organise necessary training through discussions with Directors.
Scan Mill certs and attach to MRP.
File delivery/release notes.
Print job packs.
Screen phone calls.
Maintain notice board, update information.
Basic website training.
Complete legionella checks.
Knowledge and Experience Required
Prior administrative experience preferred.
Prior experience of MRP/CRM software preferred.
Strong attention to detail of data entry into MRP/CRM & Quality systems software.
Understanding of quality procedures such as AS9100 & ISO9001 preferred.
Ability to work without supervision.
Ability to chair meetings/lead training.
Excellent time management skills.
Exceptional communication and customer service skills.
Technical skills, including proficiency with Microsoft Office programs.
Strong keyboard/typing skills.
Strong prioritisation and organisation skills.
Ability to handle confidential information.
Ability to be flexible and reactive to customer's demands.
Wage: £22,000 - 24,000 depending on experience.
Hours: 42.5
Monday - Thursday 8am-5pm
Friday - 8am - 2.30pm
Onsite parking, private medical (benefit in kind), NEST pension.
20 plus 8 bank holidays
