Do you have HR Administration experience? We are recruiting for a full time Junior HR Administrator to join our clients growing Head Office team in Hertford, Hertfordshire. This role is office-based Monday-Friday, 9am - 5pm. You must live in easy commute of Hertford.
HRGO are recruiting on behalf of our client for a full time Junior HR Administrator. To be consider you must have experience of working in an administrative support role within Human Resources, preferably within a similar fast paced environment. CIPD Level 3 or equivalent (Desirable) You will need to be computer literate with good working knowledge of Microsoft Office software or similar packages, coupled with excellent attention to detail with the ability to work under pressure and within fixed time constraints.
Junior HR Administrator Job Purpose
To provide effective and efficient full HR administration service for all employees and management. Act as escalated point of contact for more complex HR enquiries. Ensure accurate employee records are maintained, including managing data on the HR platform. Support HR Manager with employee relations activities and with recruitment and on boarding of new employees.
Junior HR Administrator Key Requirements
- Experience of working in an administrative support role within Human Resources
- Experience of working in a fast-paced environment
- Strong written and oral communication skills
- High levels of attention to detail and accuracy
- Organised with the ability to prioritise deadlines
Junior HR Administrator Main Responsibilities
Pre-Employment and Probation
- Ensure the Company undertakes all necessary employment checks including enhanced DBS, right to work, qualifications and references
- Administer the probation process, ensuring managers are having review meetings, checking paperwork is returned and issuing relevant letters
Contractual Changes and Payroll
- Prepare and issue letters to confirm changes in terms of conditions of employment
- Ensure that payroll instructions are prepared in time for the monthly payroll run and submitted to payroll with starters, leavers, DBS deductions and updates
HR Database and Reporting
- Be the primary contact for queries about the HR system
- Ensure the HR system accurately reflects current personal details and terms and conditions for all staff
- Carry out audits of employee files to ensure all time lines are up to date for inspections
Employee Relations
- Provide day to day advise to line managers and employees on HR Policies and Procedures
- Assist with meeting arrangements and note taking for formal meetings with staff, e.g., investigation meetings, disciplinary hearings, grievance hearings, and managers meetings
Training
- Monitoring training and ensure all training is completed within the induction period
- Re issue any core training that has been expired
- Deal with initial enquiries via telephone, email and memos from managers about training courses being offered / arranged
- Liaising with delegates for internal and external courses to ensure they attend and/or where necessary re-schedule/move training dates
- Handle training room bookings
- Collate and report statistics on training activity i.e., training requested, training delivered and scheduled training * Populate and maintain company training matrix/skills records
General Administration
- Ensure electronic paper-based files are maintained
- Respond to reference requests for current or ex-members of staff
- Carry out other general administration tasks for the HR Department including monitoring the HR and Recruitment email inboxes and answering the telephone
- Auditing DBS and right to work documents expiration dates
- Auditing the in-house care system
- Creating and distributing internal communications regarding Company changes and announcements
Junior HR Administrator Additional Responsibilities
- Undertake other activities identified from time to time commensurate with the level of the post
- Maintain own professional development, keeping up to date with legal requirements and relevant HR developments
- Maintain appropriate confidentiality of information relating to the Company and its staff and maintain compliance with the UK GDPR
