HRGO Northampton are working closely with a client to find a suitable candidate in Oxford as a Facilities Management Administrator. As the Facilites Administrator you will take ownership for the whole cycle of work order. Scheduling the calls / maintenance visits, recording all the paper work and following each call through to completion. Ensuring high quality outcome in line with Service Level Agreements. Key Accountabilities: * Take incoming phone calls, emails, system notifications from clients and engineers and then handle them to a professional high quality standard of output * Work with the tools provided to correctly allocate tasks and assign engineers in the most efficient and cost effective way to support first time attendance/fix * Keep up to date with the latest information regarding, systems, processes, policies, contracts and service level expectations in line with SLAs * Open, close, monitor, chase and be proactive with new and existing work orders as per company process ensuring where appropriate CAFM system is kept up to date in a compliant manner * Understand and allocate appropriate workforce solutions to relating to facilities management CAFM Tasks/Events * Create Purchase Orders, as and when requested, in line with the Company Procurement process * Make proactive outbound phone/radio calls to engineers/suppliers/clients to ensure service levels are met * Create CAFM data, for daily, weekly & monthly reporting for G4S Management Team/Trust as and when requested * Work within own authority limits and escalate areas of concern/inefficiency in process of service as appropriate ensuring correct sign off * Carry out all Administration duties associated with the role, and as requested by any member of the Hard FM Team * Handle or escalate where appropriate complaints in line with company process * Take accountability for own performance and development by completing and delivering against agreed actions/KPI's * Experience required * Excellent inter-personal and customer service skills * Experience of MS Office in particular Word, Excel, Power Point and Outlook * Be highly self-motivated and well disciplined * Smart appearance and presentable at all times * Experience of working with CAFM systems
