My client is currently recruiting for an experienced Contract Administrator with a minimum of 2 years Contract Administrator experience within a corporate environment to join their busy team. Experience of working with confidential or sensitive data in a busy environment, a team player but also able to work under their own initiative. The ideal candidate will have experience working in a contract environment with sound knowledge of IT systems (word/excel/PowerPoint and google platform), able to adapt to fluctuating workloads coupled with excellent people and communication skills. It is desirable if you are Level 3 CIPD qualification or equivalent, knowledge of safer recruitment practices and experience of facilities services.

Job Outline:

As part of the FM team to provide front line support to all company and agency staff on the Contracts, in line with the contractual requirements, by operating and maintaining a professional and efficient HR and Contract Administration function.

Key Responsibilities/Accountabilities

▪ To provide first line support and administration for managers and employees with respect to all areas of HR, resolving queries where possible.

▪ Carry out all administration processes with adverts, recruitment, assessment, selection, assessments using the Recruit Active System and induction of personnel to meet agreed contractual and budgeted establishments.

▪ Carry out all administration processes with agency recruitment , using the IQN system and induction of same to meet agreed contractual and budgeted establishments

▪ Working closely with the Screening Team in obtaining enhanced DBS and full clearance for all prospective employees, closely monitoring the process and updating the tracker as necessary.

▪ To produce Contract of Employment, New Starter Pack and Induction information for all starters, working closely with Manager to ensure procedures are followed such as probationary review meetings.

▪ Use the payroll system to load new starters, make changes to employees details, alter hours/salaries and process leavers in line with cut off dates, whilst confirming leaver details with the employees and ensuring exit interviews are completed.

▪ Overseeing the Site Managers entries for employees on the Time and Attendance system, approving/querying exceptions and performing the sign off in line with monthly cut off periods.

▪ Ensure payroll is prepared and processed for the monthly payroll run and submitted in line with cut off dates, along with processing holiday top up on a quarterly basis.

▪ Deal with employee pay queried, working between Kronos and Trent Payroll system, to resolve issues. Liaising with the Payroll Department, using the correct processes to raise ad hoc payments via CHAPs/BACs transfers.

▪ Taking part in and preparing documentation for employee relations cases including disciplinary, absence management cases, grievance cases, producing invites, note taking as required, Occupational Health Referrals and assisting the HRA.

▪ Using the appropriate systems to monitor absence on the contract and flag up where trigger points have been met, in line with the appropriate procedure, working with Managers to resolve any issues

▪ Processing of employee of the month and long service awards

▪ Produce ad hoc reports from the appropriate systems from own data sources as required. This is to include Monthly KPI report to be sent to the Account Manager

▪ Raising and recording purchase orders, receipting in of invoices, manage finances and trackers.

▪ Assist in the procurement process, ordering and receipting of good and equipment.

▪ Providing administrative support to the HR Business Partner/Advisor as required and liaising with HR Shared Services Teams in the wider business

▪ Provide administrative support to the Leicester Contract, assisting Site Managers and Senior Management in all general duties including office clerical duties, file management, dealing with and distributing internal and external mail, answering telephone queries and meeting/greeting visitors as appropriate.

▪ Assisting in the Monthly and Annual FM Service Reports and minute taking

▪ Provide holiday/absence/relief cover to the Helpdesk Administrator Role as required, ensuring sufficient knowledge of the appropriate systems and processes in order to carry out the role.

▪ Develop and maintain a good relationship with all internal and external customers

▪ Understand and work to operational needs of the business
